At a glance
- A deposit secures your date; the balance is due before departure as stated in your confirmation.
- Guest cancellations follow a time-based schedule (see below).
- Weather is part of mountain flying — buffer days and rebooking options apply.
- Operator cancellations for safety or non-operation are handled fairly with rebook or refund options.
1. Deposit & balance
- Deposit: Typically required to confirm a booking (percentage or fixed amount as stated on your quote).
- Balance: Due by the deadline in your confirmation (often 14–30 days before departure, or earlier in peak season).
- Bookings made close to departure may require full payment at confirmation.
2. Cancellation by guest
Unless your written confirmation states otherwise, the following guideline applies to the tour fare (excluding non-recoverable third-party costs such as locked permits or special charters):
| Notice before departure | Refund of tour fare |
|---|---|
| 30+ days | Full refund minus any non-recoverable costs already incurred |
| 15–29 days | 50% refund (or deposit retained — as stated on your confirmation) |
| 8–14 days | 25% refund |
| 7 days or fewer | No refund |
Private charters and peak-season lock-ins may carry stricter terms, which will be written on your quote.
3. Weather delays & cancellations
- If weather prevents flying on the planned day, we will attempt to operate within any included buffer day or the next safe window.
- If the journey cannot operate within the agreed window, we will offer one of: rebooking to a new date, a comparable alternative route, or a refund of the unused flying portion according to your confirmation.
- Costs for hotels, domestic connections or international flights arranged by you remain your responsibility unless we caused a confirmed operational failure outside weather/safety rules.
4. Cancellation by operator
If we cancel a confirmed journey for reasons within our control (other than weather/safety/force majeure), you may choose a full refund of amounts paid for that journey or a free transfer to another available departure.
5. Refund process
- Approved refunds are returned to the original payment method where possible.
- Bank or card processing times are typically 7–14 business days after approval; international transfers may take longer.
- Currency conversion differences and bank fees charged by your institution are outside our control.
6. No-shows
Failure to arrive at the stated briefing or departure point without prior notice is treated as a late cancellation. Unused services are non-refundable.
7. Force majeure
Events beyond reasonable control — including but not limited to natural disasters, epidemics, war, strikes, airspace closure, or government restrictions — may require delay, reroute or cancellation. Remedies will be limited to what is reasonably recoverable from suppliers; we will work with you in good faith on alternatives.
8. How to cancel or change
Email sonam@nordextreme.com or message us on WhatsApp with your full name, booking reference and requested change. Changes are confirmed only when we reply in writing.
Note: Adjust the percentages and deadlines above to match your real commercial policy, then have them reviewed before publishing as final.
